JOB IDENTIFICATION
Job Title : Operations Executive
ReportsTo: Head of Operations

MAIN PURPOSE OF THE JOB
To oversee all the projects management support activities through effective planning and excellence in execution to ensure effective implementation and delivery of results

PRINCIPAL RESPONSIBILITIES
a) Logistics

  • Project planning for all jobs through scope mapping, resource budgeting
  • Project costing for approval
  • Management of project implementation i.e deployment, monitoring and control to ensure excellence in execution
  • Sourcing and providing all logistical support required for each client project
  • Coordination of all field operations and the interface with the head office
  • Liaise with government bodies for relevant licenses and authorizations as well as acquiring the appropriate gazette notices
  • Maintenance of updated supplier records as necessary

b) Staff

  • Staff recruitment
  • Development, maintenance and review of training manuals for key business areas (Field marketing, sales promotions and retail sales and distribution management)
  • Staff training in conjunction with client service personnel
  • Drawing up of contracts of service for temporary staff and suppliers for approval
  • Development and maintenance of comprehensive staff data base for all existing and prospective project staff
  • Ensuring payment to field staff – reimbursements, allowances and wages

 

c) Communication

  • Development of reporting templates, formats and procedures for each project
  • Project review, analysis and evaluation
  • Development of Project execution manual (bible) for agency and client approval before kick off
  • Preparing project status update for use in developing client reports

d) Others

  • Performance of all administrative tasks to facilitate communication, process and job flows.
  • Attend to any duty as otherwise directed by the General Manager.

Experience

At least 2 years’ experience in project management for experiential marketing

 

Experience and a strong understanding of promotions, field marketing and sales operations particularly in FMCG.

Knowledge of regulatory and logistical issues around trade marketing activities
